Inside FellowFlow

Everything your practice runs on, in one system.

Patient flow, referrals, clinic operations, billing, HR and compliance share one record and one login, for a single clinic or a whole group.

End to end

From referral to recall, in one system

Most practices run separate systems for referrals, bookings, records, letters and billing. In FellowFlow it’s one patient record, from the first letter to the next recall.

  1. 1

    Referral arrives

Referrals come in through the referrer portal or the referral wizard. The AI referral assistant pulls out the key details and flags anything missing.

  2. 2

    Triage and waiting list

Triage status and urgency are set in one place. Procedures, visits and investigations sit on waiting lists sorted by clinical risk.

  3. 3

    Booking

Book straight from the waiting list into clinic templates with rooms and capacity. The smart waitlist matches waiting patients to cancelled slots.

  4. 4

    Clinic day

Check-in puts the patient on the live clinic flow board, with wait timers and dilation countdowns.

  5. 5

    Consultation

Findings are recorded per eye in each clinician’s VA notation. The AI scribe can draft notes for the clinician to check, and signing locks the record.

    Letters and email

Signing drafts the GP and patient letters. They’re approved in a queue, then printed in bulk or emailed from the clinician’s own mailbox.

    Treatment and surgery

Injections are checked against the plan and the eye, with batch and expiry recorded. Surgery runs through biometry, IOL choice and a three-stage safety checklist.

    Billing, recall and audit

Invoice the patient, insurer or company and take card payments. The recall goes on the register and outcomes feed the audit reports.

Your email, inside the patient record

Connect your Microsoft 365 mailbox and work your email without leaving FellowFlow. Send from the patient record, file replies to the right patient and keep the full history in one place.

  • Your own mailbox, plus shared mailboxes you already use, such as reception or referrals.
  • Email a patient, GP or referrer from their record. The email and attachments are logged automatically.
  • File an incoming email to the right patient in one click. Nothing is filed until someone chooses to.
  • Clinic letters go out from the clinician’s own address with the PDF attached.

Works with Microsoft 365 today. Google Workspace is next.

HL7 (ADT/ORM/ORU)Payroll exports to local payroll providers

Payroll isn’t an integration: it runs in your own payroll software – Xero, Sage, BrightPay, IRIS, Staffology or Moneysoft – using your own licence and log-in. FellowFlow gathers pay items from HR and exports them for your payroll software to import (for Xero, a printable input sheet). Integrations connect to accounts you hold with each provider. Some integrations may incur third-party costs (subscription, transaction or usage charges payable to the provider) and set-up or development fees. Availability can depend on the provider approving access. Items marked “Coming soon” are not yet available.
